I completely understand how confusing it can be when report numbers do not match up! First, it is helpful to know that Classic View has been fully retired, so Modern View is now the standard experience across QuickBooks Online. Because Modern View uses updated filter logic, a setting that looks familiar might actually handle your data a bit differently behind the scenes.
Make sure your filters match exactly
When reviewing your report in Modern View, you will want to double-check these key settings:
- Report period: Make sure you choose exact start and end dates instead of relying on a preset like "This year," which can shift over time.
- Accounting method: Verify whether your report is set to Cash or Accrual.
- Filters: Modern View features rules like Equals and Not Equals. Choosing Equals brings up only exact matches, while Not Equals leaves those out and shows everything else. Please make sure the rule you selected matches what you intended to filter.
One report to keep in mind
The Unbilled Charges report is intentionally formatted to show amounts differently in Modern View. Items assigned to income accounts appear as positive amounts, whereas items tied to other account types display as negative numbers. In the retired Classic View, everything showed up as positive regardless of account type. Rest assured this is expected behavior rather than a data error.
For all other reports, your underlying figures will align once your filters match up. If your totals still look off after reviewing these settings, we recommend saving a copy of the report and taking note of the exact filters applied. This makes it super easy to compare or share details with our support team if you need an extra hand.
How to save and reuse report customizations
To save a customized report so you can jump right back into it whenever you like:
- Head over to Reports and open up the report you want to save.
- Set up your desired filters, date range, and columns.
- Click Save customization, give your report a custom name, and select Save.
You can find all of your saved reports tucked neatly under Custom reports whenever you need them again.
