Bill payments through bank account and payment entries

We are using quicbooks online advanced for our companies. We have entities in multiple jurisdictions (USA, Canada, France and UK) from which we make payments for bills posted in QB. When we make bank payments, we set up payments individually in the bank account portal, approve payments on the banking portal and then post payment entries manually in QB. Is there a most efficient way whereby at least entries could be automated?

The most efficient way that I can think of to automate your payment entries is by connecting your bank accounts. This allows QuickBooks Online to download your bank transactions automatically. Once they sync, you simply match the downloaded payment to the corresponding bill to record it in your books.  

 

Follow the steps below to link a checking, savings, or credit card account:

 

  1. Go to All apps, hover over Accounting, then select Bank transactions.
  2. Click Connect account or Link account.
  3. Search your bank's name or sign-in URL and select Continue.
  4. Sign in to your bank using your online banking credentials.
  5. Follow the on-screen steps to complete the connection. Your bank may require additional security checks.
  6. Choose the specific accounts you want to connect (CheckingSavings).
  7. From the date range dropdown, select the start date for downloading transactions.
  8. Hit Connect, then Done.

 

For your United States entity, you can also use QuickBooks Bill Pay. This service allows you to pay your vendors via ACH bank transfer or a mailed physical check. It also records the entries for you automatically when you schedule a payment.
