Can PayPal App Transactions match Bill Payments in QuickBooks Online? My PayPal transactions only create duplicate Expenses instead of matching.

This may happen when the PayPal app is creating new expense entries instead of matching existing bill payments. You can try reviewing the bank transaction rules and make sure the bill payment was already recorded correctly in QuickBooks before syncing.

Also check:

  • Payee/vendor names match exactly

  • Transaction amounts and dates are correct

  • Duplicate expense rules are disabled

Sometimes disconnecting and reconnecting the PayPal app can also help refresh the matching process.

Yes, PayPal app transactions can be matched with existing bill payments in QuickBooks. You're seeing duplicate expenses because the system added the downloaded PayPal transaction as a new expense instead of being matched to your existing bill payment record.

 

A transaction may not be considered a match for several reasons: if the amounts differ, if the bill payment date is more than 90 days before or 20 days after the PayPal transaction, if the record has already been reconciled, or if the payment account does not align with your PayPal balance account settings.

 

To fix this and match the transactions correctly, you can follow these steps:

 

  1. Go to All apps > Accounting > Integration transactions.
  2. Click the PayPal app tile, navigate to the Categorized tab, locate the reviewed transaction, and click Undo.
  3. Click on PayPal Settings and note the account name shown under the Your PayPal Balance account section.
  4. Open the original bill payment in your QuickBooks records. Ensure the Payment account matches the account from your PayPal settings, the amount is exact, and the date meets the matching rules.
  5. Return to your PayPal account's Integration transactions page. The bill payment should now be visible as a suggested match under the For review tab.
  6. Click the transaction to expand and verify it, then hit Review or Confirm.

 

If the recorded bill payment is already reconciled in your chart of accounts, it won't appear as a suggested match. You can exclude the downloaded PayPal expense transaction instead and manually mark the recorded bill payment as cleared in your chart of accounts.
