Customer refund through eBay pulled funds from credit card instead of bank account

We recently sold an item through our eBay store and they sent us a payout for the sale to our bank account. However, when the customer returned the item and we refunded them, eBay charged our company credit card instead of pulled the funds from the original bank. I’ve contacted eBay to see if this can be reversed, but it’s too late unfortunately. At this point, I’m not sure how to handle this in Quickbooks, especially since I now have a transaction hanging out in the bank deposit screen for the refund. I’m assuming I can create a journal entry at least for part of this. The complex part is that we also withheld funds for the shipping costs to the customer.

Creating a journal entry will change your account balances, but it will not update your inventory stock. In this situation, I suggest leaving the bank deposit as is and recording a direct credit card charge using the returned item and shipping adjustment to reflect the exact changes. Before proceeding, consider consulting an accountant to ensure your chart of accounts is set up correctly for your specific needs. Here’s how:

 

  1. Go to Banking, then select Enter Credit Card Charges.
  2. Choose your company credit card, select the date, and choose eBay as the vendor.
  3. On the Items tab at the bottom, click the returned item, add the quantity as a positive number, and enter the item price.
  4. On the Expenses tab, choose your Shipping Income account and enter the withheld shipping cost as a negative amount (such as –10.00).
  5. Check that the total amount at the top matches what eBay charged your card, then click Save & Close.
