How to fix a reconciliation discrepancy after deleting a reconciled transaction in QuickBooks Online

I deleted 7 reconciled transactions to correct some other double check issues and now I'm getting the message saying I can't reconcile this month until I fix the 7 transactions I deleted.  I recreated the transactions and manually marked them as reconciled.  After do that and I go to reconcile the account it has now created 7 new discrepancy items matching the Check transactions I entered with change type of "Reconciled in Register".  These are not we transactions.  I made sure to date them their original date and have confirmed the dates in the register match the dates cleared on the bank statement.  The 7 original Change Type of "Deleted" are still there as well.  When I recreated the 7 transactions I made sure I matched them exactly to the transactions deleted based on the Audit Trail.  When I review the Reconciliation Report for each of these transactions and their time periods they still show up on the reports as "deleted" even though I have recreated them and marked them as R in the register.  Here is the other wierd thing.  My original  TOTAL DISCREPANCY DIFFERENCE was $4216.02. The balance did reduce by the amount of the checks I recreated which was $3833.95. Even after recreating each of the 7 checks I still have a TOTAL DISCREPANCY DIFFERENCE in the amount of $382.07.  I have no clue where this amount comes from since there were no other discrepancy messages.  Any help you can give me is greatly appreciated.

Recreating a deleted transaction doesn't automatically clear the discrepancy it caused

When you delete a transaction that was already reconciled, QuickBooks Online treats the deletion and the recreation as two separate events. Recreating a transaction and marking it R in the register is part of the fix, but there are usually a couple more places to check before the discrepancy clears completely. Here's how to track down and clear any amount that's still showing up.

Step 1: confirm all your bank feed transactions are settled

  1. Go to All apps, then Accounting, then Bank transactions.
  2. Make sure everything from the period in question is matched, categorized, posted, or excluded.

Step 2: open the Reconcile Discrepancy Report

  1. Go to All apps, then Accounting, then Reconcile.
  2. Choose the account you're working on. If you have more than one account of the same type, double check you picked the right one.
  3. You'll see an alert that your beginning balance is off. Select We can help you fix it to open the report.

Step 3: work through each item in the report

  1. For each line, check the What happened column to see what changed and when.
  2. Select Review in tray for details, or use the dropdown next to it and choose View History for the transaction's full history.
  3. Follow the suggested fix, or make your own correction based on your records, but only if the change was genuinely made in error. Some changes are intentional.

 

If a fix calls for reconciling a single transaction, you can either mark it R in the register or run a full reconciliation using the same ending date and balance as your last one. Both correct the balance, but only the second option shows up on a reconciliation report.

Step 4: check for what the report won't catch

Two situations don't show up in the discrepancy report itself:

  • Deleted or voided transactions: go to Settings, then Audit log. Filter to the account and the time since your last completed reconciliation, and look for anything deleted or voided.
  • Transactions reconciled outside a normal reconciliation: go to All apps, then Accounting, then Chart of accounts, and select View register for the account. Filter by reconcile status and look for anything marked R that's dated after your last completed reconciliation. Since both the original deleted transactions and the ones you recreated can leave a trace here, this is usually where a leftover amount like yours turns up.

 

To move a transaction back to uncleared, select the checkmark box next to it in the register repeatedly until it's blank, then save. You'll need to reconcile the account again afterward.

When you're done

Your total discrepancy difference should read $0.00, and the changes you found should add up to the amount you started with. At that point your beginning balance matches your bank statement and you're ready to reconcile as usual.

 

If you've gone through all of this and a specific amount still won't clear, it's worth getting a second set of eyes on it, since corrections that touch a prior reconciled period can be tricky to untangle alone. An accountant, bookkeeper, or QuickBooks support can help you track down what's left.

There are times that too much cache stored in your browser would lead to unexpected results when doing something in QBO. We have some basic steps to share to check if that's the case.

 

First, use an incognito/private browsing session or switch to a different browser. Let me share these keyboard shortcuts to open an incognito session: 

 

  • Ctrl Shift N  for Google Chrome
  • Ctrl Shift P for Firefox
  • Control Option +if you're using Safari
  • Ctrl Shift P for Microsoft Edge

I tried the advice above and it did not work for my session.

 

I had deleted many duplicate checks after unreconciling them in the register, but they are still showing on the discrepancy report. I cannot proceed until they are fixed. Help please!

When you unreconcile and delete a duplicate check, particularly one that was previously part of a reconciliation, it can disrupt the balance between your QuickBooks records and bank statements. This misalignment can lead to a persistent variance, and despite the transactions being deleted, they might still appear on the discrepancy report.

To properly fix this, we'll have to undo and redo the reconciliation of the affected period. To minimize the effect of the changes, we can only do it one at a time. Here's how:

 

  1. Go to Bookkeeping.
  2. Choose Chart of accounts.
  3. Open your bank register, then locate the appropriate transactions.
  4. Select them to expand the view and review the Check column.
  5. Keep clicking the checkbox until it becomes blank.
  6. Hit Save to confirm the action.

 

After that, let's reconcile your account again. Remember to be cautious and thorough during these procedures.
