Question

How to move funds out of manually created bank account to a connected bank account

I manually created a bank account because my bank account would not properly connect to QuickBooks. Eventually, my bank account did connect properly so I tried moving QuickBooks Payment deposits and paycheck withdrawals that were recorded to the manual account to the newly connected bank account.

I tried doing a “Transfer” from the manual account to the connected account for the paycheck withdrawals. When that didn’t work I tried a “journal entry” to reduce the manual account and increase the connected account, but still no luck. Both methods doubled the amount that is in the manual account where the paycheck payments were erroneously recorded instead of reducing the balance.

Also, the QuickBooks bank balance for the newly connected account appeared to double when I tried to change the QuickBooks Payment deposits from the manual account to the newly connected account.

If you got this far, thanks for reading and TIA for any help you may be able to provide!

One possible reason your balances doubled when using Transfers or Journal entry is that QuickBooks treats a transfer as moving money in addition to existing entries, rather than relocating the original transactions themselves.

Second, if you tried to map QuickBooks Payments to the new account while the old entries remained, QuickBooks picked up both sides of that activity. To fix this properly, we need to Undo or Delete those extra Transfer and Journal entry attempts first.

As an alternative, if the manual account was just a temporary placeholder, you can merge it into your real account. This automatically moves all past transactions over and deactivates the manual account. However, you cannot merge an account with an active bank feed, so you must disconnect the feed and delete any duplicate Transfers or Journal entries first.

Here’s how:

  1. Go to Chart of accounts.
  2. Find the manual account, select the dropdown in the Action column, and choose Edit.
  3. Change the Aouccnt name and Detail Type to match your connected bank account exactly.
  4. Select Save, then select Yes, merge accounts.
