Question

My bookkeeping business & DBA Business

I’m using QuickBooks Online for my bookkeeping business, and I recently opened a DBA under it. Both businesses have separate checking accounts. I want to manage both businesses under QuickBooks Online. How can I do that? I noticed that when I invoice my clients for my DBA, the money only gets deposited into my bookkeeping business checking account. What should I do?

You can either create a separate income account for your DBA or set up a second QuickBooks Online account, @Salo. Let me explain both options in detail.

QuickBooks Online is designed to manage one main business per subscription. While you can manage both businesses under the same account, it may cause difficulties when filing taxes or creating separate reports.

If you want to keep both businesses under one subscription, you can start by creating a separate income account for your DBA and use the Class or Location feature to track your DBA's income and expenses separately from your other business.

Here's how:

  1. Go to the Gear icon.
  2. Select Chart of accounts, then click the New button.
  3. Fill in the required fields.
  4. Choose the correct account type and detail type.
  5. Click Save when you’re finished.

When you send invoices for your DBA, ensure to check where the payments will be deposited. update the Deposit to field so the fund goes to your DBA's checking account. Then, use the Class or Location feature to track the transaction more easily in your reports.

The other option is to create a separate QuickBooks Online subscription for your DBA. The main benefit of this option is that your income, expenses, and bank transactions will be completely separate from your other business. This reduces the chance of mistakes or confusion when filing taxes or preparing reports.
