Question

Should the 'Bank Balance' and the 'in Quickbooks' amounts be fairly close in amount or can there be a vast difference between the two?

I have a postive amount in the 'bank balance' but the 'in Quickbooks' amount is a negative amount. I need to understand this better.

Hi Matthew56, the Bank Balance is what your actual bank shows, while In QuickBooks reflects all transactions you've recorded, including uncleared checks, pending deposits, or transactions not yet posted by the bank.

 

A negative In QuickBooks balance with a positive Bank balance suggests you may have: 

 

  • Uncleared checks or payments recorded in QuickBooks that haven't hit the bank yet
  • Duplicate transactions
  • Transactions are categorized in the wrong account
  • Missing deposits that cleared the bank but aren't in QBO
  • An incorrect opening balance when the account was set

 

For uncleared checks or payments, simply wait for the vendor to deposit the check and for the customer to send the payment to your bank. To address duplicate transactions, exclude them by going to your bank register. For transactions that are not categorized correctly, you can categorize them as needed. If there are missing deposits, you can record them in your QuickBooks account. Lastly, to correct the opening balance in your account, locate it in your Chart of Accounts and make the necessary adjustments.
