If Capital One suddenly won’t connect to QuickBooks Desktop, it's because Capital One changed its security requirements and your old bank feed connection no longer works. The fix is to turn off the old connection and set it up again using the newer "Capital One Bank - New" option.
Step 1: Turn off the old bank feed connection
Before you start, update QuickBooks to the latest release and back up your company file. You'll also want to match or delete any pending downloaded transactions for the account first, since QuickBooks won't let you turn off bank feeds while transactions are still pending.
- Go to Lists, then select Chart of Accounts.
- Right-click the Capital One account, then select Edit Account.
- Go to the Bank Settings tab.
- Select Deactivate all online services, then OK.
- Select Save & Close.
If deactivation won't go through
Sometimes QuickBooks won't let the account deactivate and shows a message like "Your attempt to de-activate account failed." If that happens, work through these in order:
- Re-sort your lists. This puts your accounts back in their default order and can clear up whatever's blocking the deactivation.
- Verify and rebuild your company file. This checks for data damage that can interfere with bank feeds and repairs it.
- Deactivate manually through Excel. Export your chart of accounts to an IIF file (File > Utilities > Export > Lists to IIF Files), open it in Excel, scroll to the QB ONLINE section, and change OLBANKING, OLBILLPAY, OLENABLED, and OLTAB from Y to N. Save the file, then import it back in through File > Utilities > Import > IIF Files. Once it's imported, check the Chart of Accounts again. If the lightning bolt icon next to the account is gone, the bank feed is deactivated.
Step 2: Reconnect using the new Capital One connection
- Go to Banking, then select Bank Feeds.
- Select Set Up Bank Feed for an Account.
- Type in Capital One, and when you see the matching results, choose Capital One Bank - New. Picking the old listing is what causes the setup to loop back to the same connection error.
- Enter your Capital One username and password, then select Connect. Your bank may also ask for a one-time password.
- Select the account(s) you want to connect, then select Connect, then Close.
Once you're reconnected, go to Bank Feeds, then Bank Feeds Center, select the account, and choose Download Transactions to pull in your latest activity.
If you're importing downloaded transaction files instead
If you download your Capital One activity as a file and import it manually, but nothing comes in and you don't see an error, a few things can cause that:
- Make sure you downloaded the file directly from Capital One's website, not from inside QuickBooks.
- Check your bank's website for any messages about reauthorizing or confirming your identity. Banks sometimes require this before a file will import correctly.
- Try switching Bank Feeds to Classic mode (from Banking, hover over Bank Feeds, then select Change Bank Feeds Mode) and import the file again.
- If you've already imported transactions for this account before, QuickBooks may be silently skipping them because it recognizes the same transaction IDs and is avoiding duplicates.
If none of that gets your transactions to come in, the file itself may need a fresh download from Capital One.
