Question

My client is using QuickBooks to raise sales invoices, but hasnt connected a business bank feed yet. Is it best to record the sales invoices as paid manually?

If so, what's the best way of doing this? Currently my client has a number of sales invoices showing as outstanding on his QBs account.

Yes, manually recording the payments using the Receive payments feature is the best way to clear those outstanding invoices.

Here’s how:

1. Click + Create and select Receive payment.
2. Select the customer from the Customer dropdown.
3. Choose the Deposit to account:

  • If you are depositing multiple payments at once, you can select Undeposited Funds and do a separate Bank Deposit afterwards to group them.
  • If a single invoice was paid directly into their bank, you can simply click + Add new to manually set up the bank account, then link it whenever you need to.

4. In the Outstanding Transactions section, check the box next to the invoice you want to pay.
5. Click Save.

Once your client connects their bank account, make sure to match the bank transaction to the manual payment they already recorded.
