Question

Is there a way to have a hidden notes box on the estimates. Basically i want to add what products im using but dont want to advertise this to the customer.

Yes, you can have a hidden note box. However, you need your account under QBO Advance or Essential. 

 

Here are the revised instructions for clarity: 

 

1. Click on the Gear icon under Your Company.

2. Choose Custom form styles, then click the New style dropdown, and select Estimate. 

3. Under the Design tab, type the product you want to add in the Template box.

4. Next, click on the Content tab, choose Activity table, uncheck the Description box, and click Done.

 

Here are the other options for revising instructions:

 

1. Go to the Gear icon, then under Lists, select Custom Fields.

2. Add a custom field by typing in the name and selecting Text or Number from the data type dropdown.

3. Click on Transaction, then tick the Estimate box, but make sure not to turn on the Print on the form option.

4. Finally, Save your changes.

 

In addition to customizing invoices, estimates, and sales receipts in QuickBooks Online click the link.

Ok, nearly what im after. However i use the description box quite a but. Ideally im after a memo box thats hidden to the customers. Just so i can transfer all my products etc to the box. I resell a lot of products and it would be handy to say where there coming from. Im wondering if a product code may be more sensible but thought id ask as id be happy to upgrade so long as i have a hidden (staff only) box

You can add a private note in the Memo on the statement field that will not be visible to your customer, @philsfieldmainte.

 

This feature lets you include internal comments, reminders, or any other relevant information for the estimate without it appearing on the estimate itself. But, it will still be reflected on the customer's statement.

 

Here's how:

 

  1. Access your QuickBooks Online account. 
  2. Go to +New and select Estimate.
  3. Enter the necessary information.
  4. Scroll down and add notes to the Memo on the statement field (hidden).

 

On the other hand, you have also the option to use the Custom field. I'll show you how:

 

  1. Click on the Gear icon.
  2. Select Custom fields.
  3. Choose Add field.
  4. Tick the box in the All Sales forms.
  5. Make sure to disable the Print on form option.

 

Yes, you can use a product code as a unique identifier to determine where the products came from by entering this information in the Memo on the statement or in the Custom field.

 

Furthermore, you can also email your sales forms, invoices, and statements to your customers in the future.
