Question

cancelled direct deposit, I have the confirmation it was cancelled but it went anyway

I cancelled a direct deposit so I could update bank info for an employee.   I have a confirmation it was voided.  But the employee still received those funds plus the funds in the new bank.  Not sure what happened.  I voided the paycheck with plenty of time before it went in.

I’ve had a similar case. Even if you got a voided confirmation, if the cutoff window had already passed on Intuit’s backend (typically 5 PM PT two business days before payday), the bank transfer might’ve already been queued and sent. QBO can show the void, but the transaction’s still moving in the ACH pipeline. You’ll probably need to call Payroll Support directly so they can trace the transaction IDs and confirm if it was fully intercepted or just flagged too late. In the one time it happened to me, they were able to escalate and start a recovery, but time was key.

Let's check what happened with that direct deposit, RTO.

Situations like this can occur when you cancel after the funding deadline (lead time). For instance, if you have a 2-day lead time and the payday falls on a Friday, the direct deposit must be canceled by 5:00 PM PT on Wednesday of that week. After that, you'll need to send the usage data by selecting Employees, then Send Usage Data to sync the information with our system.

Since you still had plenty of time when you voided the transaction and even received a confirmation, it's best to contact our QBDT Payroll Support to investigate what happened to it. Here's how:

  1. Go to Help, then select QuickBooks Desktop Help/Contact Us.
  2. Click Contact Us.
  3. Give a brief description of your issue, then select Continue.
  4. Choose a way to connect.

You can check their support hours to ensure they can address your issue promptly.
