Direct Deposit Delays for QuickBooks Online Payroll

Does anyone have any insight on why for the past several weeks when I run a weekly payroll on Wednesday to pay employees on Friday, the money is not in their bank account until later in the day?

 

I tried calling support 3 times and basically didn't get an answer or any insight.  They said their policy is they can pay any time on pay day up until 5 pm.   I understand why this policy exists but this is only a recent issue and I have never had delays on direct deposit where I had to even look into this.

 

The client is very upset and they blow up my phone early in the morning on pay day.  I would prefer to keep them on QuickBooks Online Payroll but they are asking to switch to ADP payroll because they know it is bs to tell someone that their direct deposit will go in anytime on pay day when for decades and with multiple different payroll companies, that doesn't happen unless you are doing a special payroll.

 

Any insights???  I believe it is a communication issue with Intuit QuickBooks making all the software changes but no one at QuickBooks support said that.  Will this get resolved or do I need to move my payroll clients to a system that direct deposits on time?

I’ve noticed similar issues recently with QBO Payroll. Direct deposit timing can shift because the actual processing depends on the ACH network and your bank’s cut-off times, not just QuickBooks’ schedule. Even if you submit on Wednesday for Friday pay, some banks or intermediary processors might delay posting, especially if there are system updates, weekends, or holidays nearby.

 

From what I’ve seen, QuickBooks hasn’t officially acknowledged a widespread delay, but small changes to their ACH processing or internal updates could be causing this recent shift. One thing that sometimes helps is confirming the payroll submission is fully approved and processed by the end of the day Wednesday, any late edits can push the transaction later.

 

If this keeps happening and your clients are really sensitive to exact timing, some firms do explore alternatives like ADP or Gusto because their systems have tighter guarantees on posting times. But before moving, I’d suggest checking bank cut-offs, making sure payroll is submitted early, and keeping clients informed. Sometimes just setting expectations that the funds could post any time before 5 pm can reduce calls.
