Question

How do I prep Form 940 on my own in QBO? A letter received from IRS indicating we're missing Form 940 as of 12/31/2022. QBO can't help me since they didn't file it. Help?

You’ll need to download a copy of the 2022 version of the payroll tax Form 940, Square3.

To manually prepare the annual Form 940, you’ll first have to acquire this form (2022 version) from the IRS website.

Then, run payroll reports like the Payroll Summary or Payroll Tax and Wage Summary reports for 2022 in your account to gather necessary payroll information. Let me guide you how:

  1. Navigate to Reports and enter Payroll Summary or Payroll Tax and Wage Summary report.
  2. From there, modify the reporting date period to the year 2022.
  3. Make necessary customizations. Then, review all information.

Once these details are ready, you can manually enter or write the specific numbers on the downloaded form and mail it directly to the IRS.

For mailing instructions, you can refer to this link for the correct IRS address based on your location: Where to File your Taxes for Form 940.
