How to cancel my QB Desktop Payroll Enhanced subscription and still run payroll form W2 in January 2027?

We have an annual QB Desktop Enhanced Payroll subscription. As of 7/13/26 we no longer have employees and hence don’t need to run payroll any longer.

Our annual subscription would renew mid January 2027 and I understand that I won’t get a pro-rated refund. Since the subscription is valid until then I would like to use it in January 2027 to create our W2/W3 forms for the current fiscal year. 

What is the best option to do this? I would like to avoid any monthly costs of running payroll for zero employees. Can I skip payroll in QB Desktop payroll enhanced? If so, how?

The best and most cost-effective option is to keep your subscription active until mid-January 2027 while completely pausing your payroll processing activity. If you cancel now, you won't be able to generate forms in your company file, and Intuit doesn't offer prorated refunds for annual plans.

 

To pause your payroll activity, you'll just need to make your employees inactive and deactivate your payroll schedules.

 

Make an employee inactive:

 

  1. Go to Employees, then Employee Center.
  2. Open the profile for the employee.
  3. Select Employment Info and go to the Termination tab (use the Leave of Absence tab for layoffs/furloughs).
  4. Enter the Termination Type, Release Date, and check the Employee is inactive box.
  5. Select OK.

 

Deactivate a payroll schedule:

 

  1. Go to Employees, then Employee Center.
  2. Under Create Paychecks, select the payroll schedule you want to remove.
  3. Select Edit Schedule from the Payroll Schedules dropdown.
  4. Check Schedule is inactive, then click OK.

 

Even with zero active employees, you're still legally required to file zero-amount Quarterly Form 941s and state equivalents for Q3 and Q4 2026 to stay compliant. Your active Enhanced subscription will let you generate and e-file these blank forms at each quarter-end.

 

Once IRS e-filing opens in early January, you can process your W-2 forms and final Q4 2026 Form 941. After those are accepted, just turn off auto-renewal through your Intuit Account before mid-January.

@GFBC You can renew your subscription for a few months through a trusted reseller if needed. There is no need to go through the hassle of requesting a refund or paying the annual subscription fee upfront. Contact ​@Fiat Lux_ASIA for details.
