Question

Our company Workforce is set up as location is required. How can 1 employee clock in without location?

all settings are set to location required, even the individual employee's settings. When employee clocks in, shows up as "smart phone" and no location.

This issue occurs because the employee is clocking in through a mobile web browser (such as Safari or Chrome) instead of the QuickBooks Workforce app. This bypasses your location-required settings, as mobile browsers register the device as a "smartphone" without using GPS data.

To resolve this, we need to block web browser clock-in while allowing access through the mobile app.

Part 1 – Company-level settings (complete this step first):

  1. In the QuickBooks Time dashboard, go to Company Settings.
  2. Select Time Options.
  3. Click Time Entry.
  4. Uncheck Allow team members to manage their own timesheets.
  5. Leave Allow team members to track time on the mobile app checked.
  6. Save after.

Part 2 – Individual employee permissions:

  1. Go to My Team and select the employee's name.
  2. Click the Permissions tab.
  3. Make sure Manage my timesheets is unchecked.
  4. Keep Mobile time entry checked.
  5. Then, Save.

These changes will require employees to clock in only through the  Workforce app, ensuring your location-required settings function as intended.
