Question

Payroll subscription shows inactive when in fact it IS active

My payroll subscription is showing as inactive in my QB desktop. I’ve logged into QB and confirmed that everything is in fact active. I’ve downloaded payroll updates so everything should be up to date. QB chat has been no help. I can’t seem to connect with anyone.

What QB Desktop year version? 2024 or older?

This usually happens because QuickBooks Desktop hasn't synced with your account yet, even though the subscription is active. To fix this, you can refresh the connection between your company file and your service key. Here’s how:

 

  1. Go to Employees, then choose My Payroll Service.
  2. Click Manage Service Key.
  3. If the key shows Active, click Edit, then hit Next until you reach Finish.
  4. If it is missing or invalid, hit Add and enter your active service key.
  5. Make sure the EIN in the company file is exactly right, since an incorrect EIN or PSID can cause the subscription to show as inactive.


If it's still inactive, you can run the QuickBooks Tool Hub to fix any program issues that are stopping QuickBooks from recognizing your active payroll subscription.

If the issue persists, you can reach out again to our Intuit Expert team. They can check your payroll subscription on their end and help get your account synced so your payroll shows as active in QuickBooks Desktop.

Thank you for your response. I have tried to Manage Service Key thing and clicked through until it was finished. It STILL shows inactive on my payroll center.

I’ve tried to chat with QB about this and cannot seem to connect with anyone. 

I did receive a message in payroll center that effective August 14, 2026 a payment has not processed on my account. I’ve checked my bank statement and there is a charge for monthly payroll service from September 14, 2026. 

I have no clue as to what is going on. 

This is beyond frustrating!

​@slarry Login to CAMPS and make sure the license of your QB Desktop and Enhanced Payroll are Active. Then try to disconnect and reconnect your Enhanced Payroll to your QB Desktop file.If the same error persists, consider seeking assistance from a ProAdvisor who holds an active Enhanced Payroll for Accountant license.
