I appreciate you for getting back to us, Del13. I have the necessary instructions on how you can isolate this issue.

 

You should be able to see and edit the Gender and Social Security number under your employee's Personal info. Please see the screenshot below:

 

 

I suggest performing some basic troubleshooting to ensure the availability of the Gender and Social Security number fields, as QuickBooks Online (QBO) can sometimes behave strangely due to stored internet cache files. 

 

Let's begin by using an incognito window or private browser using the following keyboard shortcuts:

 

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Sh

 

If this resolves the issue, return to your regular browser and clear your browsing history to start fresh. If not, you can use a different supported browser. The QuickBooks version you're currently using may have a temporary problem.

 

You can also set up and manage payroll schedules in the system.

Have you already tried the troubleshooting steps my colleague mentioned above, like opening the page in an Incognito/Private window or clearing your browser history?
 

If so, and the fields are still missing, it is due to your account status. Please note that you cannot edit certain fields when updating an employee's personal information if your QuickBooks Workforce Payroll is inactive or in a trial period, as the system restricts access to read-only. To modify this information, please ensure your account status is fully active.

Well, I’ve been able to add and change that info up until approximately a month ago. We do not use the payroll system from QuickBooks. This is an inconvenience since I do use that information to have it available electronically.

You can still add employees with their gender and Social Security Number (SSN) even if you don't have a payroll subscription from QuickBooks. Just go to the Team menu to do this.

 

Here's how:

 

  1. Go to the All apps menu.
  2. Select Team, then click Employees.
  3. Click the Add an employee button, then fill out the necessary details.
  4. In the Personal info tile, click Edit.
  5. Scroll to the bottom and click the Gender dropdown to select an option.
  6. Enter the SSN in the Government ID box.
