Missing bank transactions after reconnecting your bank? Here's how to get them back

Quick Answer: You may need to update the connection between your bank and QuickBooks to sync any missing transactions. The missing transactions may have gotten categorized incorrectly, or may not have gotten categorized at all. Check the For review, Categorized, and Excluded tabs in your Bank Transactions, your account history, and the Uncategorized Income or Uncategorized Expense account to locate missing transactions.

This is one of the most common things we see after a connection expires, a consent lapses, or a bank feed is migrated. The good news is that in most cases the transactions are recoverable, and often they're already in QuickBooks, just not where you expected them.

Note: QuickBooks does not download pending transactions. Only transactions that have already been posted to your bank are downloaded.

How Do I Recover Missing Transactions?

We’ll begin by updating the connection between your bank and QuickBooks to sync any missing transactions. The connection may need to be updated even if you’ve recently reconnected your bank.

  1. Go to All apps > Accounting > Bank Transactions
  2. Select Update
  3. View the For review section to find your missing transactions

How Do I Review and Categorize Updated Transactions?

Once your missing transactions have been synced with Quickbooks, it’s time to properly categorize them.

  1. Go to All apps > Accounting > Bank Transactions
  2. Select your bank
  3. View the For review, Categorized, and Excluded tabs to find your transactions (there’s more info on each tab in the following section)
  4. Categorize each transaction to the correct account

What Does Each Bank Transactions Tab Mean?

Categorized/Posted

If it’s in the wrong account, unmatch it and move it

Excluded

Select Undo then categorize it from For review

Where Do I Find Older Missing Transactions?

For missing transactions that weren’t made recently, you may be able to locate them in your account history.

  1. Select the gear icon > Chart of accounts
  2. Find the bank account and select View register
  3. Select a transaction to view more details

Where Else Might I Locate Missing Transactions?

If you haven’t created a bank rule to automatically categorize your transactions into specific accounts, QuickBooks puts them into the Uncategorized Income or Uncategorized Expense account. Your missing transaction may be located there.

  1. Select the gear icon > Chart of accounts
  2. Find the Uncategorized Income or Uncategorized Expense account
  3. Run report
  4. Locate and unmatch your missing transaction

FAQ

Q: Why aren’t my transactions appearing in QuickBooks?

A: Even if you’ve recently connected your bank account with QuickBooks, the connection may need to be updated. If your transaction is still pending, it won’t download until it’s been posted.

Q: Why aren’t my transactions being categorized automatically?

A: You need to set up bank rules to automatically categorize your transactions. The more QuickBooks Online uses your bank rules, the better it gets at categorizing your transactions.

Q: How do I add transactions if I can’t connect my bank or credit card?

A: If you’re unable to connect your bank or credit card, or you wish to add transactions that were made prior to connecting your bank and QuickBooks, you can manually upload transactions to QuickBooks online.

Q: My bank account is active. Why am I getting error messages when I attempt to connect it with QuickBooks?

A: There are a few issues that may pop up when attempting to connect your bank with QuickBooks. We recommend reaching out to your bank to ensure they aren’t seeing any issues on their end. If everything looks good, try accessing your Quickbooks account from a private/incognito browser window to see if the issue persists.
