Question

Employee hours are not exporting over to quickbooks

Employee hours are not showing up to be exported to Quickbooks Online. I can only see the time for one contractor who does not qualify as an employee. I can't run payroll at all because of this. What is the problem?

Employee hours are missing from your QuickBooks Online Payroll export because the employees aren't set up correctly for payroll time export in QuickBooks Time. Usually an identity conflict with a contractor record, a missing pay-profile setting, or unapproved timesheets.

Since you can see a contractor’s hours but not your employees’ hours, review these areas first:

  • Confirm employee payroll setup: Verify that the affected employees are properly set up for payroll in QuickBooks Online and are correctly linked with their corresponding employee records in QuickBooks Time.

  • Verify employee setup and matching: Confirm that the workers are set up as employees in QuickBooks Time and are matched to the correct employee profiles in QuickBooks Online.

  • Check timesheet approval and export eligibility: Make sure the employee timesheets are approved and included in the correct pay period, as only eligible and approved hours can be exported to payroll.

  • Review payroll item mapping: Confirm that time types such as regular hours, overtime, or PTO are mapped to the correct payroll items to ensure hours transfer correctly.

After reviewing these settings, try exporting the hours again.
