Question

How can I get a report which shows all payments received against invoices (for a period) with the dates that the payments were received?

Example - Period is 1Jan 2026 to 28 Feb 2026 Invoices may have been created before Dec 2025 or during the period. I would like to see all payments that were received during the period and the date these payments were received. I would also like to see the VAT amount (if applicable) that is tied to these payments.

Hi, info2056. Several reports are available to access the information you need, including invoices, invoice payments, and VAT amounts. I’ve outlined the steps below for clarity.

To view invoices and their associated payments, you can customise the Invoices and Received Payments report:

  1. Go to Reports > Standard Reports and open Invoices and Received Payments.
  2. Click Customise and go to the Columns section.
  3. Add the following columns:
    • A/R Paid
    • Open Balance
  4. Set the appropriate Report period.

Adding a Reference no. to the invoice payment makes it easier to identify the corresponding invoice. This will appear under the report’s Transaction Number column.

Meanwhile, VAT amounts are recorded at the invoice line item level, rather than at the payment level. To view VAT details, use either the Sales by Customer Detail or Sales by Product/Service Detail report:

  1. Go to Reports > Standard Reports and open the desired report.
  2. Click Customise and go to the Columns section. Add:
    • A/R Paid
    • Open balance
    • Tax code
    • Tax inclusive amount (optional)
    • Taxable amount line
    • VAT amount
  3. In the Filters section, set Transaction type equals Invoice.

You can then export the customized reports to Excel for further analysis or consolidation. Here’s a helpful link for reference: Export your reports to Excel from QuickBooks Online.
