QuickBooks Online is designed to include a payment link in the email sent to your customers, Gerry, rather than embedding a clickable payment link directly into the PDF version of the invoice.
When you send an invoice via email, the payment link is automatically included in the email body, allowing your customer to view and pay the invoice online. If you need to send the PDF with a payment option, you can inform your customer to reference the payment link in the email, as it will not be embedded in the PDF itself.
If you need to send the PDF as an attachment in a separate email or message, you can copy the secure shareable link from the invoice screen in QBO and paste it into the message you send with the PDF. Here’s how to manually copy the link:
Navigate to the Sales menu and select Invoices.
In the Action column, click the dropdown arrow beside Receive payment.
Then select Share invoice link.
Click Copy link.
In your external email or text message, attach the PDF and paste the copied link into the message body with a clear instruction. For example, "You can pay this invoice securely online here: [Pasted Link].”
Also, you can consider exploring third-party applications that offer more advanced customization features for invoices. Some of these apps could allow you to embed payment links directly into PDFs or create invoices tailored to your needs.
