Hello there, Reena.

QuickBooks does not natively allow for deep customization of invoice headers directly within the software. However, you can adjust and modify invoice templates to include custom fields that may suit your needs to a certain extent.

You can use Custom Fields to add these headers. Note that the number of fields available varies by plan:

  • Simple Start, Essentials, Plus: Up to 3 custom fields.
  • Advanced: Up to 12 custom fields (with more data types like dropdowns and dates).

Here's how:

  1. Go to the Gear icon and select Custom fields.
  2. Choose Add field.
  3. Name your field (e.g., "ETA" or "HBL No.") and select the Data type (Text, Number, Date, or Dropdown).
  4. Check the Transaction category and ensure Invoice is selected.
  5. Crucial: Switch on Print on form so the customer can see it on the PDF/printed invoice.
  6. Select Save.

With your current subscription, you can add up to three custom fields, but this may not fully meet your needs. As an alternative, you can utilize the Notes, Description, or Memo fields; however, please note that these options cannot appear in the invoice header. Upgrading to QuickBooks Online Advanced would provide you with up to 12 custom fields, allowing for greater customization options as required.
