why has quickbooks not sequentially numbering sales invoices

QuickBooks Online (QBO)  assigns invoice numbers sequentially by default. However, gaps in numbering can sometimes occur due to specific actions or settings. Let me explain why this happens and how to resolve it. 

 

Skipped invoice numbers may happen if invoices are deleted or voided, or if drafts were started but not finalized. Additionally, the Custom transaction numbers feature allows manual changes, which may affect the sequence. 

 

To ensure invoice numbers stay consistent, it’s best to turn off the Custom transaction numbers feature after setting up custom numbering. This prevents accidental changes while still showing the invoice numbers on your customers’ invoices. Here's how: 

 

1. Go to the Gear icon at the top right corner of your screen.

2. Select Account and Settings. 

3. Click Sales tab section, then select the Sales form content area. 

4. Turn off Custom transaction numbers. 

5. Select Save, then select Done.

 

If you need to set custom invoice numbers for specific cases, you can enable the feature temporarily, make the changes, and then turn it off again for consistency. This will allow QuickBooks to handle numbering automatically while avoiding errors.
