I have noticed that there are some transactions showing as unsettled in Quick Books. Upon reviewing the bank statement, there is only a single transaction recorded.

I have noticed that there are some transactions showing as unsettled in QuickBooks. Upon reviewing the bank statement, there is only a single transaction recorded. However, in QuickBooks, the same transaction is appearing twice, which is creating a discrepancy. Could you please check and advise on how to resolve this issue? It seems like a duplicate entry may have been recorded in the system. Kindly let me know if any further details are required from my end.

Dealing with duplicate entries can definitely throw off your balances. This usually happens when a transaction is manually entered into your books, and the same transaction later downloads automatically through your live bank feed, creating a duplicate instead of recognising it as a match.

Since the transaction is already recorded on your bank statement, removing the duplicate copy will bring your accounts back into balance. You can do this by following these steps:

1. Go to the All apps tile, then click the Accounting dropdown menu.
2. Select the Bank transactions tab and click on the specific bank account.
3. Look in the Pending tab for the duplicate transaction.
4. If you see the transaction listed there and it is a duplicate of something already recorded, click the Post dropdown menu and select Exclude.

If the duplicate was already accidentally added to your records, go to the Posted tab, find the entry, and click Undo. This returns it to your pending queue, where you can follow the steps above to exclude it.

To prevent this from happening in the future, click the All transactions dropdown menu and choose Suggest matches. When QuickBooks recognises a downloaded transaction that mirrors an entry already in your books, it will suggest a match rather than creating a duplicate entry. Selecting match ensures your data stays clean and accurate.
