Question

The 'Employees' section of my QB Online shows 2 records. Both have my name but only one is actually me. I can't deactivate the other. What should I do?

Both have my name and both are active. One is me, I added my personal email as a user in case there were circumstances where I could have issues accessing. It is active and has all my details in the fields. The other has my name as the display name but legal name shows 'null null' and no other field contain any information. It won't let me delete the record or make it inactive.

It appears you have a duplicate employee record in QuickBooks Online, one accurate and complete, and another incomplete that can’t be deleted or inactivated. For compliance and audit reasons, employee records can’t be deleted in QuickBooks Online.


If you can’t inactive or delete the duplicate employee record, especially if you see “null null” in the legal name field, it may be due to how the record was created. In this case, contacting QuickBooks Online Support can help resolve the issue.

 

Here’s how:

 

  1. Log in to your QuickBooks Online account.
  2. In the upper right corner, click the question mark icon.
  3. Select the Search and type your concern, “duplicate employee profile” then enter.
  4. Click Contact Us.
  5. Choose between receiving a Callback or starting a Chat with support.
