Cannot record payments to invoices even though in bank transactions, deposts are shown.

I have made multiple deposits over the Last few weeks but when selecting to record a payment to corresponding invoices, there is no money available to link.

In QuickBooks, bank transactions will only appear as available money to link if the customer name, amount, date, and account correspond to your invoice details correctly.

 

If the deposit still won't link, you can tie them from the Invoices page. Here's how:

 

  1. Go to Get paid, then select Invoices.
  2. Locate the open invoice and click Record payment in the Action column.
  3. Choose the correct account from the dropdown menu, ensuring it corresponds to the account associated with that transaction.
  4. Verify the accuracy of the dates by hitting on the Sort and filter tab, then Apply
  5. Once done, pick Save. Repeat these steps for the rest of the entries.

Another possible reason why the funds don’t appear on the Record payment page is if the transaction is fully linked to another invoice.

 

To verify this, go to the Transactions menu and select Bank transactions. On the far right, you’ll see a Chain link icon.

 

If you see a Chain link icon beside the transaction, please follow these steps to resolve the issue:

 

  1. Go to Get paid and select Invoices.
  2. Locate the paid invoice you want to edit and click the dropdown icon in the Action column.
  3. Select Mark as unpaid.

 

This action removes the transaction connection from the invoice, allowing you to re-link the correct payment or edit the invoice.

 

Additionally, if you mistakenly mark downloaded deposits as Personal rather than Business, they will not appear on the Record payment page. You can edit this in the Bank transactions page by clicking the Pencil icon beside the transaction and changing it to Business.
