Hi there, kayla38. Importing an old timesheet into QuickBooks Desktop can be done either manually for smaller batches or by importing data for larger files. Here are some steps to guide you.
If it’s just a small batch, you can input them directly into QuickBooks Desktop. Here’s how:
Navigate to Employees and select Enter Time, then choose Time/Enter Single Activity.
Fill in the following details:
Date the work was performed
Employee name
Payroll item
WC Code and Class, if applicable
Customer: Job and Service Item, if the work is billable. If it's not billable, ensure the "Billable" checkbox is unchecked.
3. Click Start to begin tracking the employee's hours worked. Once the work is complete, click Stop, then select Save & Close.
If you have large amounts of timesheet data, you can import it directly into QuickBooks Desktop using an IIF file. Here’s how:
Build your timesheet data in Excel with columns like DATE, EMP, ITEM, CUST, and HOURS.
Format it properly (e.g., ensure employee names, service items, and customers match exactly with those in QuickBooks).
Save the file as a .txt file, then manually change the extension to .iif.
To import the file, Navigate to File, then Utilities
Click Import, then select IIF Files.
If you’re using QuickBooks Time, you can export or import your timesheet data directly.
If you are nor familiar with IIF, you can use TP Importer. It's a $199 one time license and you can get a free license from a partner if your company is located in the US.
