Greetings! Welcome to the Community space. We are delighted to have the opportunity to assist you today. 

 

Thank you for choosing QuickBooks Online as your business operations partner. We would be happy to guide you through the process of copying last year's budget into this year's budget. Here's how you can do it:

 

  1. Go to the Gear icon, then choose Budgeting under TOOLS.
  2. Select the Create a budget option.
  3. Select a period and the budget format. Then, tap Next.
  4. To add either past actual or past budget data as a reference, hit the Compare reference data radio button and select what type of reference data you want to use.
  5. Click Save.

    Alternatively, you can go to the Budget menu. Find the budget from the previous year and click on the dropdown button in the Action column. From there, choose the Duplicate option. This will allow you to obtain a copy of last year's budget as well.

I would like to copy last year’s budget -- but without the deleted classes which still appear in that budget without any numbers.  The columns just make the pdf budget overview very unwieldy.  I have to convert to excel to delete the blank columns

To remove those blank columns from the PDF budget overview, let's filter the report to show only the active classes.

 

Before proceeding, could you confirm whether you are creating the PDF from the Run Budget Overview report or directly from the budget by selecting Print/Save as PDF? The steps will depend on where you're generating the PDF.

 

If you're using the Run Budget Overview report, follow these steps:

 

  1. Navigate to the Gear icon, then Budgeting.
  2. Click the View/Edit dropdown for the copied budget.
  3. Pick the Customize button.
  4. In the Filter by dropdown, choose Class.
  5. In the Value dropdown, check the boxes for the classes you'd like to include in the report.
  6. Hit Apply changes.

 

If you're opening the budget directly and selecting Print/Save as PDF, we can update the budget view to reflect active classes when we print or export the data to Excel:

 

  1. Go to the Gear icon, then Budgeting.
  2. Open the copied budget by clicking View/Edit.
  3. In the Add subdivided budget for dropdown, select the active classes.
  4. Review your budget details and then export it to Excel or choose Print/Save as PDF.
