I Need to convert my chart of accounts - moving subaccounts to classes and classes to projects - and retain history - is there an automated method?

My nonprofit uses QB online. In the current setup, revenue and expense accounts use sub accounts to identify the program (general admin, high schools, middle schools, college prep, etc). Classes are used to ID the specific school or event, for example, Wisdom High School, youth camping, or Professional Bootcamp.

This is very unwieldy because virtually all expense accounts have 5 sub accounts and the list of classes is getting too long to make it easy to report.

Thus, I want to convert my chart of accounts (and all the historical data) as follows:

  1. I want to use the class in place of the sub accounts to eliminate the subaccounts for each account
  2. I want to use projects in place of the classes so that new projects like a fundraising event can be readily added without having to modify QB classes.

Is there a way that this can be done programmatically? I’ve written lots of software over the years but I need to know if there is something out there that I could parameterize or code to take my existing QB chart and convert it to a new chart as described above.

QuickBooks Online does not have a built-in feature to automatically convert subaccounts into classes or classes into projects while preserving historical data as you described.

 

Because this kind of change involves how historical transactions are structured, it requires a custom migration approach rather than a native QuickBooks Online function. You may want to post your concern on the Intuit Developer page to ask whether there’s an API-based approach that could help with this type of conversion.
