Question

Invoices with Connected apps

Hello.  I use a program called Design Files for my interior design business and have it connected to QBO.  I send invoices directly from Design Files for a portion of the total amount, then request the balance at a later date, and the client pays from the link it provides.  Suddenly, Quickbooks has also started sending an invoice for the full amount.  This has become painfully confusing for us and the client as we may send out numerous invoices in a day or week.  I went into settings and unchecked:

Automatically send imported invoices
Invoices will be sent only to customers with a saved email address.

That did not work and it is still sending invoices.  How do I turn this off?  This is a horrible feature and causes too much confusion and chaos for us and our clients.  Thank you.

I completely understand.  In addition to turning off the Automatically send imported invoices checkbox, check whether you have any workflows set up to send invoices automatically, especially if you're using QuickBooks Online Advanced.

Here's how:

  1. Click the Gear icon at the top right.
  2. Select Manage workflows.
  3. Find the workflows you have created.
  4. Click OFF to disable the workflow.

Also, try importing invoices using an incognito window to see if the issue persists. Alternatively, I recommend reviewing your Design Files integration settings to ensure automatic emailing is disabled there too. If QuickBooks Online default action for a completed invoice is set to queue or transmit, it bypasses the standard import toggle.
