If we are addressing employee who we believe is purposely turning off location, I want to ensure the information is solid

QuickBooks Time does not send instant notifications when location services are disabled. However, you have the option to set location tracking to Required, which will automatically clock the employee out the moment their GPS is turned off.

To enable this for an individual employee:

  1. In QuickBooks Time, go to My Team and choose a team member.
  2. From the Location tab, select Custom Rules for this Team Member.
  3. Select Required, then click Save.

For company-wide:

  1. Go to the Company Settings menu and select the Location tab.
  2. Switch tracking to Required.
  3. Click Save.

Once active, you can check their GPS Points Report and Timesheet Logs for gaps. Because the app caches data during normal cell service drops and syncs it later, a total tracking blackout during active hours confirms the phone was turned off, put in airplane mode, or stripped of app permissions.

For complete verification of these system rules and offline caching policies, you can review Intuit's Official GPS and Geofencing Employer FAQ.
