PAID STAMP disappeard from my invoices suddenly while viewing them on screen

Last week and previously, when I entered a payment and went back to invoices, I could see PAID on paid invoices visually. Now, this week - that stamp is gone. It is there if I go to print the paid invoice - but it was a great visual tool for me seeing it while scrolling through invoices. Can I get that back?

I'm here to assist you in making sure that the PAID stamp appears when you pay an invoice.

 

You'll need to either create a new template or choose an existing invoice template to modify to enable the display of the PAID stamp on your invoice when paid.

 

Here's how:

 

  1. Open the invoice.
  2. Select the templates drop-down, then Edit Current Template.
  3. In the Layout Designer, select Fields.
  4. Select the Print tab.
  5. Ensure to choose between a Small or Large stamp.
  6. Save your template and ensure to select your new template to enable the stamp.

 

You also have the option to show a Past Due stamp while scrolling through your invoices. Here's an article for more details: Show Past Due stamp on invoices in QuickBooks Desktop.

I followed the instructions, but the PAID stamp always shows up when I "preview" to print (or actually print a paid invoice. The PAID stamp just no longer show up on a paid invoice on-screen?

To verify my understanding, are you trying to include a PAID stamp on printed and emailed invoices, or are you trying to remove it? You can follow the steps in GlinetteC's post to enable your stamp. This will also enable it to be viewed when viewing the invoice on-screen in QuickBooks.

 

Any invoices which have been paid should be showing up in QuickBooks as paid. If they aren't, please try to include a screenshot showing what you're seeing when viewing paid invoices. This will help me to better understand what you're encountering.

 

If you'd like to remove stamp on printed/emailed invoices, you can clear stamps from your invoice template. For detailed steps on doing so, you can refer to our Customize form templates article.

Thanks for the problem report.  Can you send us some more details via the 'QuickBooks > Send QuickBooks Feedback...' menu item?  Select 'Report a bug' in the 'Type of Feedback' popup, and include an email address that we can use to reach out to you.  If you can reproduce this missing PAID stamp, please try and describe the exact steps you follow to reproduce the problem.  It might sound unnecessary, but list every click or keyboard press you follow to expose the problem.  For example, when you open the Invoices window do you use CMD+I or do you select the 'Customers > Create Invoices' menu item?  After the Invoices window appears, do you manually click on previous invoices in the left hand list, or do you use the up/down arrows to go to a previous invoice once you have made an initial invoice selection from the left hand list?  Specific details about how you interact with QuickBooks Mac can make all the difference in whether the problem is reproducible or not.  The single biggest problem fixing reported bugs is finding reproducible steps.  If we can reproduce a problem, we can fix it.
