Posting a payment that was made on the government's web-site

Had to make a payment on the government's web-site and need to register the payment in QuickBooks Desktop. How can I do that...a fake check? Totally flummoxed. Any suggestions?

You can record the payment as a standard QuickBooks transaction (either Write Checks or Pay Bills), @Ashtar.

 

If you're paying an expense that isn't tied to a specific bill already entered in QuickBooks Desktop (QBDT), follow these steps:

 

  1. Go to Banking, then select Write Checks.
  2. From the Bank Account dropdown, select the account the money was taken from.
  3. In the Check Number field, type EFT, DEBIT, or ONLINE. This indicates the payment was electronic.
  4. In the Date box, enter the date the payment was made on the website.
  5. In the Pay to the Order of dropdown, select the government agency.
  6. In the Expenses tab, select the appropriate account (e.g., Taxes & Licenses, Payroll Liabilities, etc.) and enter the amount.
  7. Click Save & Close.

 

If you already entered a bill in QBDT and need to record that it has been paid, follow these steps:

 

  1. Go to Vendors, then select Pay Bills.
  2. Check the box next to the specific government bill you just paid.
  3. Under Payment Method, select Check and select Assign check number.
  4. Click Pay Selected Bills.
  5. When the pop-up appears, type EFT or ONLINE as the Check Number.
