Question

System restore lost my quickbooks file

I bought a new laptop that I was planning to use as the server pc. Downloaded Desktop server manager, everything was working great. Then, The fan on the laptop kicked on and wouldn't go off. I tried everything. Then I decided to do a system restore to a few days earlier and forgot to back up my file. Now I can't find it. Fan is still on, thinking I"m going to have to return the laptop. But finding my QB file is my priority. When i click on the folder it was in in file explorer, it says it's unavailable. I thought the system restore didn't delete anything? I'm an IT dummy and this has me so stressed out. I don't know what to do.

Can you find the *.QBW or *.QBB files?

What QB Desktop year version did you run? 2024 or older?

No, I can’t. That’s the issue. It’s 2024.

Good morning, @windyl0u.

I'm sorry to hear about your laptop. Let's work together to get your company file restored.

Since you're not seeing the file located on the laptop anymore, I wanted to ask if you have ever backed up your company file using IDP (Intuit Data Protect)? If so, you can grab the most recent back up from there and restore it.

Here's how:

  1. On your computer's system tray, right-click the IDP icon (green padlock).
  2. Sign in to your account.
  3. Select Restore from Backup.
  4. Choose the date and time of the backup you want to restore.
  5. Pick the file, then tap Continue.
  6. Select a location and then click Restore.

Once done, manually back up your accounting data. After that, go to your local folder, then copy and paste it to your thumb drive. The default path for QuickBooks Desktop company files is C:\Users\Public\Public Documents\Intuit\QuickBooks\Company Files.

I recommend visiting our FAQ page to learn more about how IDP works.

If you no longer see the green pad lock, you'll need to download and activate Intuit Data Protection. You may need to reach out to Intuit's customer support for assistance. They should be able to guide you through the process of accessing and transferring your backup files. Additionally, they can provide you with the necessary steps to activate the backup service on your laptop.

Please let me know if you have any additional questions or concerns. I'm happy to help. Take care!

A Windows System Restore normally does NOT delete personal data, but it can roll back system changes that make folders unavailable (permissions, redirected paths, OneDrive sync, or external/network locations). First, search the entire drive for .QBW using File Explorer or Windows Search, and check common QB paths (Documents\QuickBooks, Public\Public Documents\Intuit). Also check OneDrive/Dropbox recycle bins, the Windows Recycle Bin, and any external drive or network location if the file was hosted as a “server” file. If the folder now says “unavailable,” it may be a broken path or permission issue rather than true deletion. As a last resort, file-recovery software or a third party repair tool like Stellar Repair for QuickBooks may help if you locate the QBW but it won’t open but recovery tools won’t help if the file is truly gone. Do not keep using the laptop heavily until you search, as new data can overwrite recoverable files.

This would have been helpful 3 months ago. Thanks for the response, it's nice to know if something happens again, I'll have this. I had to re-enter about 2 weeks of data. It was incredibly frustrating.
