Hi there, Moses! In QuickBooks Online (QBO), we have several ways to track and customise specific reports based on the version you are using.

If you’re using QBO Plus, Advanced, or QBO Accountant (QBOA), you can use the Class Tracking feature. First, turn on the Class tracking by going to the Gear icon > Account and settings > Advanced > Categories. Then, toggle on Track classes and select Save.

Once enabled, you need to add your specific grades by going to the Gear icon > All Lists > Classes.  Select New, type the name of the grade, and select Save. This allows you to assign a specific grade to every income and expense line, enabling you to run and customise the Sales by Class Detail report to see transaction-level data.

If you’re using the lower-tier plans, you can add each learner as a Sub-customer to group learners by grade. Go to All apps > Customer Hub > Customers & leads > New customer.

Afterwards, run the Sales by Customer Detail. This will automatically group the students' transactions under the Grade header, providing a clear, organized breakdown without needing the Class feature.
