Question

how can a get a total amt of bills/cr notes for suppliers. Report already set up only incls bills posted to exp acs and won't capture any items posted to bal sheet acs?

The help function actually states that you can't get an accurate total for the supplier as it only includes bills posted to expense accounts. Therefore if you post invoices to prepayments code in the balance sheet they won't be included in the supplier total

Before we start, could you please confirm if the report you mentioned is the Expenses by Supplier Summary report? If so, yes, the information you have is correct. In this report, only total amounts posted to expense (and some COGS) accounts, so anything you code to balance sheet accounts (like Prepayments/Deposits/Fixed assets) won’t show there.

 

To get a complete supplier total that includes those transactions, you can run the Transaction List by Supplier report instead of the Expenses by Supplier Summary report.

 

To do this, please follow the steps below:

 

  1. Navigate to Reports, then choose Standard reports.
  2. Look for the Transaction List by Supplier in the search bar.
  3. Filter the date range.

 

You can customise the report according to your preferences to ensure it reflects the specific details you need. You can also use the Supplier Balance Detail report.
