Here is our use case: Accounting gets lots of requests from other departments checking on the status of payments to vendors. This wastes time for the accountant doing the research, and the other department waiting for an answer. I would like to automate the export of selected data to a spreadsheet (or similar) so my department heads can check the payment status for their vendors without bothering accounting.

We use the connector Zapier to do this with other applications, but QB Desktop is not compatible with it. We use the Premier Nonprofit edition -- is there a tool that can offer a solution?

Currently, we can only export data manually into CSV files in QuickBooks Desktop.

I see how important and beneficial it would be to your business to automatically export selected data. To ensure it receives attention from our product engineers, I suggest using the feedback option, enabling us to enhance the program's features accordingly.

Here's how:

Click the Help option.
Select the Send Feedback Online option.
Choose the Product Suggestion option. A pop-up window displays.
Enter your feedback suggestion.
Click the Send Feedback button. The feedback is sent.

In the meantime, you can search for a third-party application that can automate data export. You can also search for apps online or through QuickBooks Marketplace to meet your business needs.

Zapier only works with cloud-based apps and QB Desktop is not one of them. Ask your accountant to consider signup for a Melio account for free and invite the head for each department and one of their admin as a contributor. Your accountant can ask each department to input and attach their bills by their own. They should be able to monitor the payment schedule. The only downside is the app doesn't sync with QB Desktop.

For this kind of setup, I’d also look at whether you can separate the reporting piece from QuickBooks Desktop itself. I use Skyvia for similar jobs where accounting data is exported on a schedule to a database or spreadsheet for other teams to check. It won’t replace the Desktop connection in your current setup, but it can be useful if you have a supported way to get that data out of QB first.
