Closed QuickBooks Checking, Unable to make Account Inactive

I recently closed my QuickBooks Checking Account and disconnected it from my Bank Transactions sync. However, when I go to finally make the account Inactive, I get the following errors:

QuickBooks Checking: You can't delete this account as it is used as default for one of the sales lines.

It also pops a window up that says:

1 account wasn’t deactivated

Here are some reasons this might be the case:

  • They have a non-zero balance.
  • They’re one of the default accounts used by your chart of accounts.
  • They’re being used in an automated workflow.

 

I’ve verified the balance is 0, It is not used as a account for any products or services, and there are no rules or workflows. What else should I check?

QuickBooks automatically links hidden billing settings and payment paths to your checking account on the backend. Since you already checked your own products, you need to look at these automatic system settings next.

 

Here is exactly what else to check:

 

  1. Click the Gear icon at the top right of your screen.
  2. Select Account and settings.
  3. Click the Payments tab on the left.
  4. Look for the Deposit section where customer payments land.
  5. Change that bank from your closed account to your active bank account, then click Save.
  6. Go back to the Gear icon again and select Products and services.
  7. Find the automatic system items named Sales or Hours.
  8. Click Edit on the right side of those items.
  9. Change the Income account dropdown menu from your closed to a normal income account, and click Save.

 

If the system still blocks you from hitting inactive after you change those items, the guide states it is a permanent default account. If that happens:

 

  1. Go to your Chart of Accounts.
  2. Click Edit on that account.
  3. Change the name to something like DO NOT USE Closed Checking.
