Question

exporting a report to Excel and when I export it to Excel the totals are all '0'

Hi,

 

   Has anyone had this issue, when i export a report from QuickBooks online to excel all the amounts are 0

Excel is up to date and used Chrome and Edge, both browsers were cleared of their cache

Thank you for sharing with me about your report showing up zero amounts when exporting it to Excel. The file is maybe in Protected View. 

 

You need to click Enable Editing to view the full report. See the attached screenshot for your visual guide.

Since you've already tried clearing your cache and then selecting the option by colleague provided, I recommend contacting our Customer Support Team for further assistance. They'll be able to take a screen share tool and see why this is happening. Here's how: 

 

  1. Go to the Help icon in the top right-hand corner. 
  2. Press the Contact Us button. 
  3. Give a brief description of the issue and hit Let's talk
  4. Scroll down and choose to Get a callback

Good news first: your numbers aren't missing. QuickBooks exports report totals as Excel formulas, and when those formulas don't calculate, the cells show 0, so this is a display issue, not lost data. The usual cause is Excel's Protected View, but since you've already clicked Enable Editing and still see zeros, the next most common cause is that Excel is set to manual calculation, and there are a couple of other checks below.

1. Confirm you left Protected View

Open the file and, if you see the yellow Protected View bar, select Enable Editing. Tip: click a zero cell, if the real number appears in the formula bar, the value is there and just isn't calculating, which points to the next step.

2. Turn calculation back to Automatic (most likely fix here)

  1. In Excel, go to the Formulas tab.
  2. Select Calculation Options and set it to Automatic.
  3. Or press Ctrl + Alt + F9 to force a full recalculation.

When calculation is set to Manual, the exported formula cells stay at 0 even after you enable editing, this matches what you're seeing.

3. A few more checks if it persists

  • Open in the desktop Excel app, not the browser or a preview. Previewers and some viewers don't calculate the formulas.
  • Update or repair Office (File, Account, Update Options), and if you use a non-Microsoft spreadsheet app, try opening the file in Excel itself.
  • Re-export from a different browser if the downloaded file itself looks incomplete, though since you've already tried Chrome and Edge with cache cleared, the Excel-side steps above are the more likely fix.

If the totals are still 0 after enabling editing and setting calculation to Automatic in the desktop Excel app, that's worth reporting to QuickBooks Support so they can look at the export on your account. If it helps in the meantime, exporting to PDF gives you the figures directly without relying on Excel calculation.
