You can set up payroll reimbursement items and assign specific expense accounts to track different types of payroll reimbursements in QuickBooks Online, pamelajfoss. Let me walk you through the process step-by-step.

 

To start, you’ll need to create or edit the reimbursement item(s) that will be used for payroll. Here's how:

 

  1. Go to My apps and select Payroll tab.
  2. Click Employees menu and select Edit payroll items.
  3. From Pay types, select Start or Edit.
  4. Click New payroll item, from Pay types choose Reimbursement.
  5. Follow the onscreen instructions and click Done.

 

Once your reimbursement items are created, you can map these items to specific expense accounts in your Chart of Accounts:

 

  1. Go to the Gear icon and select Payroll settings.
  2. Proceed to the Accounting section and click the Pencil icon on the right-hand side.
  3. Scroll down to the Wage expenses, Company Contribution Expense Accounts, and Employer tax expenses section.
  4. Click the Pencil icon on the right-hand side.
  5. Assign each payroll item to the different expense accounts in your Chart of Accounts.
  6. Click Done.
