You can record the payment using either of the transactions you've created, Julie. Allow me to help you with recording the payment.
First, if you want to choose the sales receipt, you can delete the invoice and match it to the downloaded payment under the For review tab.
Here's how:
On the left panel of your QBO account, click on Sales.
Select Invoices, then locate the invoice you've created.
Click the dropdown button under the Action column, then select Delete.
After deleting the invoice, go to Transactions.
Under the For review tab, find your customers payment.
Select the payment and click Match.
Otherwise, you can also record the paid invoice using the Receive payment feature, then match the downloaded transaction to the open invoice. After that, you can delete the sales receipt.
Here's how:
Go the +New icon, then select Receive payment.
Select the customer on the dropdown button.
Tick the invoice that you want to record.
Once done, click Save and close.
Additionally, you can refer to this article in customizing your invoices in QBO, allowing you to tailor the appearance and content of your sales forms.
