Square payroll integration to QBO not working

Trying to figure out the best way to get square payroll to import correctly into QBO simple start. I have the old integration not the new connector. All my square transactions and payroll seemed to come over correctly and I thought I had categorized them correctly.

 

I have since reset my chart of accounts using a video I found on YouTube for payroll using tax liability and My contractor payroll lines up perfectly but the W-2 checks are a mess. Square pulls the FICA and Fed income tax as one debit. Also the Futa and Suta come out as one debit. When it gets to QuickBooks the system doesn't separate it. So I have started making a journal entry for each check then go in and split the transactions that are pulled in as a lump sum.

 

Is this the only way to do this? I'm trying to fix 2025 and this is the only thing keeping my PNL from being balanced, so I can fill my taxes. I've also noticed that as of this month my payroll is pulling over as a journal entry automatically rather than expenses. But if there's a faster way than unmatching another 49 transactions, I'd love to know. Also is the square connector app better? I want to switch but I have to make sure everything is squared away first.

 

Finally, do you need to reconcile accounts if everything is pulled directly in thru an integration?

Untangling those lump sum transactions so you can finish your taxes is a lot of work, let's get you some answers. Square Payroll is a separate service managed by Square, not QuickBooks. The Connect to Square app you mentioned is built for regular daily sales and point-of-sale transactions, not payroll. Since Square Payroll uses its own connection to push data to QuickBooks, switching apps won't resolve the lump sum tax issue.

 

The lump sum W-2 tax issue happens because of how your data is currently mapped to export from Square. This formatting is controlled entirely within your Square account. We recommend reaching out to Square Payroll Support so they can show you how to adjust your settings. This will help your FICA, Federal Income Tax, FUTA, and SUTA transfer as separate items instead of one large chunk.

 

Tracking payments as journal entries is the standard method when a third-party payroll service doesn't import directly as mapped expenses. This keeps your payroll and account data in one place. Since journal entries require an understanding of debits and credits, splitting the lump sum manually takes a lot of time. Getting the mapping fixed with Square will do the heavy lifting for you. Finally, you still need to reconcile your bank accounts. Integrations save time, but reconciling is a necessary safety check to ensure no duplicates or missing items slip through the cracks.
