Question

Why are some service lines on invoices broken up into lots of small transactions on profit and loss statement?

I have a 'service' called LPG that costs $150. When I add this to a customer invoice and the invoice is paid in full - why does the income from this service show up as several smaller transactions? I now have a large discrepancy between income from this service and cost to the cooperative as the income doesn't seem to be tracking properly. 

 

I didn't set up the services so it could be why this is happening. 

 

Does anyone have any ideas?

Hello there, Emma. Start by checking the audit log in your accounting or invoicing system, including who made them, what was altered, and when.

 

This way, we can assess how these changes have impacted your Profit and Loss statement, overall income tracking, or any linked accounts.

 

Here are the steps to use the audit log:

 

  1. Navigate to the Gear icon.
  2. Select Audit log.
  3. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.

 

Once you’ve identified the source of the problem, you can use the batch delete functionality to remove any broken or duplicate transactions. This ensures that the Profit and Loss statement accurately reflects the correct income for the $150 LPG service.

 

To delete transactions, follow these steps:

 

  1. Go to the Sales tab
  2. Click on Invoices.
  3. Scroll down to locate the transaction you want to delete.
  4. Click on the transaction and then select the dropdown arrow in the Batch action menu.
  5. Choose delete.

 

 

 

It is also advisable to consult with your accountant to determine which transactions should be deleted. This helps avoid complications and ensures accuracy in your financial records.
