Why does QuickBooks Online show duplicate income for invoices and payments, and how do I fix it?

In my profit and loss report, Quickbooks is double counting my income. It shows Invoice and Payment of the invoice (direct deposit into my checking account) as income.

What can I do to fix it because right now, it is giving me a wrong picture of my P

This happens when a bank deposit gets added to your books as a new transaction instead of matched to the invoice payment you already recorded. QuickBooks then counts the income twice on your profit and loss report: once when the invoice was paid, and again when the deposit was added separately.

Step 1: Fix the duplicate that's already in your books

Start by finding the extra entry causing the duplicate:

  1. Go to All apps, then Accounting, then Bank transactions.
  2. Select the Posted tab and find the account with the duplicate.
  3. Locate the deposit that was added separately from the invoice payment, and select Undo. This moves it back to the Pending (or For review) tab.
  4. From there, select the transaction and choose Find match instead of Categorize, then match it to the existing invoice payment.

 

If the deposit was already reconciled and matching would throw things off, you can exclude it instead so it doesn't create a duplicate. See Exclude duplicate transactions in QuickBooks Online for the steps.

 

Step 2: Stop it from happening on future invoices

Once you match instead of add, you shouldn't have to redo this every time a customer pays an invoice. Here's why: when the payment comes through your bank feed, QuickBooks automatically looks for a matching amount within a set date range and suggests linking it to the invoice payment you already recorded, rather than creating a new entry.

  1. Go to All apps, then Accounting, then Bank transactions.
  2. Check the Categorize or Match column for a suggested match on the deposit.
  3. Review the details to confirm it's the right invoice payment, then select Post.
  4. If nothing is suggested, select Find other match to search for the invoice payment yourself.

 

A match won't be suggested in a few situations worth knowing about: if a bank fee or discount changed the deposit total, if several payments were deposited together as one lump sum, or if the payment falls outside the 90-days-before to 20-days-after matching window. In those cases, you'll need to find and match it manually using the steps above.

Making it a habit to check the Categorize or Match column before you post anything from your bank feed is the best way to keep invoice income from being counted twice going forward. For more on how this works, see Match your bank and credit card transactions.

We’ll have to undo the added transactions and match them. This process ensures the income on your Profit and Loss Report will show the correct amount.


Here’s how:

 

  1. Go to the Banking menu on the left panel to select Banking.
  2. From the list, choose the account you’re working on.
  3. Navigate to the Categorized tab and tick the boxes for the payments.
  4. Then, press the Undo button and then hit Continue.

The entries will now show in the For Review column. From there, mark the box for the payment and choose to Find Match. For detailed instructions, follow the steps in this article: Categorize and match online bank transactions.

I'm glad the steps shared by my colleague above helps fix your Profit and Loss reports discrepancy, @english_august.

 

With regards to going through the steps again when recording invoices and payments, not at all. QuickBooks automatically looks and tries to match your downloaded transactions. This keeps your record accurate and avoids any duplicates. 

 

All you have to do is to categorize it to the correct account. However, if you find any discrepancy with your P&L reports, you'll want to perform the steps again to correct them.
