Why doesn't Optical Character Recognition (OCR) extract data from my receipts in QuickBooks Online?

Why receipt data doesn't extract automatically

QuickBooks reads receipts most reliably when a few basic requirements are met. If the extracted info comes back blank or wrong no matter how you upload the receipt, check these first.

  • One receipt per file. Each image or PDF should contain a single receipt or bill.
  • A supported file type. Use PDF, JPEG, JPG, GIF, or PNG. Newer iPhones save photos in HEIC by default, so convert those first.
  • A clear, readable image. Blurry photos, glare, or faded thermal receipts make it harder to read the details correctly.

 

Whichever way you add a receipt, whether by email, mobile capture, or drag-and-drop, it lands in the Receipts tab under For review, not straight into your books. From there, you can check what QuickBooks pulled out and fill in or correct any details by hand before adding it to a transaction, so a missed field doesn't stop you from getting the receipt recorded.

 

If the mobile app itself is the problem

If receipts aren't uploading at all, not just failing to extract data, a few standard app fixes usually help: switch between Wi-Fi and mobile data, close and reopen the app, restart your device, and reinstall the app if needed.

Allow me to share some information about Optical Character Recognition (OCR) feature.

 

At this time, not all receipt formats are covered by QuickBooks for OCR yet. If it's not working on your end, you can proceed with uploading the receipts or attach them to your transactions manually.

 

Here's how you can upload your receipts from the Banking/Transactions tab:

 

  1. Go to the Banking menu or Transactions menu.
  2. Select the Receipts tab.
  3. Tap Upload from computer or Upload from Google Drive. Each image or file should only contain a single receipt or bill.

 

Moreover, here's how you can dd attachments to customer and vendor profiles, as well as their transactions.

We cannot suggest a specific app that you can integrate with QuickBooks Online. However, you can visit our marketplace to see the available apps.

  1. Click Apps on the left menu and go to the Find Apps tab.
  2. Search a third-party app that suits your needs and integrate it with QuickBooks Online.
  3. Click Get app now and start the integration process.
