Question

QB desktop filed our W2's through May 2025 and included wages up until that point. QB Online filed W2's including wages for Jan-December 2025. How can I correct this?

IRS and SSA will receive 2 W2's for employees when they should only get the one with the total for the year

    Hello, fpcsc-finance.

I understand you're concerned about duplicate W-2 filings, one from QuickBooks Desktop (QBDT) covering wages through May 2025 and another from QuickBooks Online (QBO) for the full year. Let me help you determine the next steps.

Since W-2s were filed by QuickBooks, you'll likely need to file a corrected W-2 (Form W-2c) to void the incorrect filing and ensure the IRS and SSA receive accurate information for your employees.

For that, I recommend reaching out to our Payroll Live Support team directly. They can securely review your account, confirm whether a correction is needed, and guide you through the process to resolve the duplicate filings.

    Here's how:

    1. Navigate to the Help (?) icon at the top right.
    2. Go to the Search tab, then select Contact Us.
    3. Enter a brief description of your concern and click Continue.
    4. Choose your preferred contact method: Chat, Appointment, or Callback.
