Yes, you can access your employees' W2s in the QuickBooks Online. The steps may vary depending on how the forms were filed.
If you have e-filed the forms in QuickBooks Online, or we filed them for you, you can follow these steps:
Go to Taxes on the left menu, and select Payroll Tax.
Click the Filings tab.
Go to the Filing resources section.
In the Archived forms page, look for the W2s.
Click View, and download a copy.
If the forms were filed manually, you'll have to archive them first. After that, you can already view the forms. You can check out this article for the detailed information: View your previously filed tax forms and payments.
Once you have downloaded the W2 copies, you can now email them to your employees.
