Can I change an invoice to receive an interim payment from client?

It’s great that your client is happy to make an interim payment while the job has been held up. There are two effective ways to handle this in QuickBooks Online (QBO), depending on how you'd like your records to look. Let’s walk through both options.

Applying a Partial Payment to the Existing Invoice

1. Go to + Create and select Receive Payment.
2. Select your Customer from the dropdown.
3. Check the box for the existing invoice.
4. In the Payment field, enter the interim amount they are paying now.
5. Click Save and Close.

The invoice will now show a "Partially paid" status. When the job is completed, you can easily enter the remaining balance to finalize the payment for the invoice.

Edit the existing invoice and create a new invoice for the remaining balance

1. Go to All apps, then select Invoices and find the original invoice.
2. Select Edit and change the quantity or the amount of the interim payment.
3. In the Description, enter the interim payment.
4. Hit Save and close.
5. Once the job resumes and is finished, create a new invoice for the remaining balance.

Note: If you choose this way, I recommend adding a note in the Message on invoice field, for example: "Interim billing for Phase 1. or "Final billing" to follow upon completion, so you don't lose track of the original project total.
