To start, please note that scanned receipts are exclusive to bills and expense transactions. Therefore, you cannot match them if the refund bank transaction is a money-in transaction.
If it's a money-out refund entry, please review whether the transaction details match the scanned receipt. Here are some reasons why a transaction might not find a match:
The payees, amounts, or dates don’t match.
The bank account associated with the payment differs from the bank where the match is located.
The transaction is older than six months.
The payment has already been reconciled.
The record is already matched to another transaction.
Multiple currencies are involved, and the exchange rate has shifted significantly, making the amounts very different.
If everything matches, please follow these steps to proceed:
Navigate to Transactions and select Bank transactions.
Look for a downloaded record marked “matches found” in the Category or Match column.
Expand the selected record to check the date, description, and amount.
Review the suggested matches for existing transactions in QuickBooks.
Click the link next to each match for more details, ensuring the match is accurate. If not, select Find other matches to search for alternatives.
If a match is correct, select it and then click Match to confirm.
